Cleaning service records for Orlando rental properties
A simple workflow for property managers: request, written quote, confirmed appointment, service records and a reviewed invoice.
Quick answer
Keep one service record for each property and visit: the requested surfaces, approved quote, appointment, access contact, completed work and invoice. Separate a cleaning request from a confirmed booking. If the scope changes, approve the change before work proceeds. Photos can document condition but should be shared privately and connected to the correct property.
Start with a property-specific request
Provide the service address privately, ZIP code, approximate quantities and photos. Describe whether the request concerns carpet, upholstery, tile and grout or an exterior surface. Identify who can approve the quote and whether an owner, manager or tenant controls access.
Fit the work into the changeover window
State checkout and next arrival times, parking restrictions and the access contact. The proposed time is a request until the service team confirms availability and scope. Include room return-to-use requirements; a short vacancy window does not automatically make every cleaning process suitable.
If multiple properties are involved, keep each appointment and authorization separate. This helps prevent a photo, invoice or gate instruction from being attached to the wrong visit.

Keep the approved scope, relevant before-and-after photos, completion notes and any limitations together. Large photo sets can be sent in a separate message or a controlled-access folder, with the same property reference as the invoice. Avoid public links containing entry codes or private customer details.
Review the invoice against the approved work
Check customer name, property reference, service date, item descriptions and agreed charges before issuing the invoice. A quote proposes work; an invoice records charges for the approved work. Keep optional items or approved additions identifiable instead of hiding them in one unexplained total.
